Next, create a new Scenario in make.com and select webhook as the first module. Choose custom webhook and generate a URL, which should be copied into the AITable.ai automation settings.

Test the data retrieval, and if successful, choose Mail as the next module. For the event, select ‘Send Email,’ connect to your email service. Fill in the necessary information in the configuration panel, such as the recipient’s email, email body, cc, and more. You can include field variables from AITable.ai.

After successful testing, you can publish this workflow.

We’ve previously explored the construction of automated workflows for bulk email archiving and organization, but in doing so, we’ve neglected a critical component: attachments. These email add-ons also require backup and management to ensure quick and effortless retrieval when needed.

Thankfully, AITable.ai and Make provide an elegant solution to this oversight, enabling the creation of a streamlined workflow that effortlessly manages this task.

Unleashing the Power of AITable.ai and Make

This time, we harness the capabilities of Make to automate the backup of email attachments in Google Drive and the organization of data in AITable.ai.

Step-by-Step Guide to Saving Emails and Attachments

To initiate the process, open Make and create a new Scenario. The first module to select is Gmail, with the event set to “Watch Emails”. Fill in the necessary information as per the configuration panel, selecting “Gmail filter” for the “Filter type” and “has:attachment” for the query. This step is designed to find emails with attachments.

Save Emails and Attachments to AITable.ai and Google Drive

Next, create the second module, again selecting Gmail, but this time choosing “Iterate Attachments” for the event. The Source module should be the first Gmail module.

Then create the third module, selecting Google Drive, with the event set to “upload a file”. Choose the location for the file upload. This step allows for the automatic backup of received email attachments on Google Drive, facilitating efficient management.

The final step involves adding AITable.ai as the last module, with the event set to “create a record”. Link your AITable.ai account, select the corresponding space and datasheet, and fill in the information variables from Gmail into the corresponding fields. For the URL field, select the “web view link” variable from Google Drive to store the link to the backed-up attachment.

Upon successful testing, publish the Scenario, and the workflow is complete.

Automated Email Filtering and Data Synchronization

To begin with, create a new table in AITable.ai, incorporating the email information you wish to record, such as the recipient, sender, and email content.

Then, open Albato and create a new connection under Apps.

Select email and fill in your email account information as prompted by the panel to establish a connection with Albato.

Next, create a new automation. The trigger for step 1 should be the email application, with the event set to ‘new mail.’ Connect your email account and set the automation timing to real time (based on your needs. In this example, we choose real time).

Select the folder containing the emails you wish to filter and archive (to save usage and reduce trigger run times, create a new folder in your email and set up basic filtering criteria to initially filter a batch of emails).

Add a new tool to step 2, select ‘stop automation on condition,’ and set your filtering criteria, which can be a combination of multiple conditions. For instance, continue running automation when the email is from a specific mailbox; otherwise, stop.

Lastly, select AITable as the action, with the event set to ‘create records.’ Connect your AITable.ai account, select the corresponding space and table.

At last, fill in the email variables according to the corresponding fields, and publish the automation.

Now, every time a new email from a particular person arrives in the specific folder in your inbox, a new record synchronizing the relevant email information will be created in AITable.ai.

Then, select ‘send mails’ as the action and configure the appropriate information as per the panel. This includes the SMTP Server, your mailbox account information, incoming mailbox, etc. You can associate the incoming mailbox with the data in the datasheet.

Write the subject and body of the email, again referencing the relevant variables in the form, such as the contact person.

Save and publish to enable bulk sending of emails when the select field is ‘send email’.

Create a new scenario within Make.com, where the email is selected as the first module and the event is set to ‘get emails’. Then associate your mailbox and fill out the configuration information in the panel, such as selecting the triggered mailbox folder.

Next, the second module selects AITable.ai and sets the action to create a record. And following this, the user sets up the pairing information and matches the email data obtained in the previous step to the corresponding field in the AITable.ai table.

Of particular note, your table should have a ‘select’ field with the option ‘new’.

With this setup, the system automates the creation of a record in AITable.ai. This record contains the sender’s information and a ‘new’ option, which activates whenever a new email is received. By building a similar automation to the one mentioned in the bulk email sending section, you can automate responses to new emails and record the relevant information in AITable.ai.

The primary idea is to utilize participant information from AITable.ai, generate corresponding documents and PDFs based on Google Docs templates, and then automatically dispatch these via Gmail to the participants.

The Guideline: Setting Up Your Automated Workflow

Step in AITable.ai

Firstly, you need to create a datasheet in AITable.ai with the details of the event participants. This sheet should include a select field named ‘status’, which indicates the status of the email sent, with an option ‘Approved’.

Next, set up an automation in AITable.ai that sends a web request, ensuring that the participant information can be received by Make. The trigger should be ‘Record Matches Conditions,’ activated when the status changes to ‘sent’.

The action should be ‘send web request’, and in Request method select POST. At this point you need to fill in the Request address, which you need to get in Make.

Log in to Make and create a new scenario. apply search and select webhooks, select Custom webhook in TRIGGERS and create a webhook, paste the generated link into AITable.ai.

At this point, go back to AITable.ai, select JSON in Body, and use JSON language to write the information of the fields you want to synchronize in the input box. For details, please refer to How to use variables, then save and click enable to let automation take effect.

Mastering Template-Based PDF Creation and Email Automation with AITable.ai and Make.com

Step in Make

You can test it by clicking Run Once in Make, then go back to AITable.ai and change “Status” to “Approved” in a certain line, at this time, Make’s webhooks will receive the field information of this column, proving the success.

Then, add the next module Google Docs, with the action being ‘Create a Document from a Template’.

At this stage, you should have prepared a document template in Google Docs where the information variables are in the form of {{xxx}}, facilitating Make’s reading and replacing process.

In Make’s settings panel, match the variable data fetched from AITable.ai to the corresponding document tags.

Run a test on this mod, and if it succeeds, you’ll see a new document appear in your Google Docs containing the information that AITable.ai was crawled.

Then, set up another Google Docs module for generating the document’s PDF.

The final module is Gmail. Connect your Gmail account, set the recipient’s email (if your AITable.ai table includes the email address, you can read the variable and automatically send it to the respective contact), set the email content template, and reference the PDF parameter generated in the previous step in the attachments.

Once the test is successful, you’ve completed the entire workflow.
